WhatsApp Business App vs WhatsApp Business API: which one do you need?
The Jwab team · · 3 min read
Almost every business starts on the free WhatsApp Business App. At some point, usually when the team grows or messages pile up, the question comes: should we move to the WhatsApp Business Platform, better known as the WhatsApp Business API? Here is how the two compare and how to tell when it’s time.
The short answer
- The App is a phone app for one business owner or a very small team answering a manageable number of chats.
- The API is how WhatsApp connects to business software. It lets a whole team, and AI agents, answer from one number, send campaigns to opted-in customers, and connect WhatsApp to the rest of your tools.
Side by side
| WhatsApp Business App | WhatsApp Business Platform (API) | |
|---|---|---|
| Who answers | Whoever holds the phone (plus a few linked devices) | Your whole team at once, through software like Jwab |
| Assignment and ownership | None: everyone sees everything | Each conversation has an owner, a status and a priority |
| AI and automation | Basic greeting and away messages | AI agents that answer from your knowledge base and hand over to people |
| Campaigns | Broadcast lists, limited to contacts who saved your number | Template campaigns to opted-in customers, with delivery and read reports |
| Other channels | WhatsApp only | One inbox with Instagram, Messenger and TikTok (in Jwab) |
| Reporting | Basic message statistics | Who handled what, response times and campaign results |
| Cost | Free | Meta’s per-message fees plus the software you use |
Signs it’s time to move to the API
- More than two or three people need to answer. Passing one phone around, or sharing linked devices, means double replies and missed chats.
- Customers wait. Questions at night or on weekends go unanswered until someone picks up the phone.
- You can’t tell who said what. A customer complains and nobody knows who promised them a delivery date.
- You want to message customers at scale, such as order updates, reminders or offers, without copying and pasting.
- You want AI to take the routine questions, so your team can focus on sales and complex issues.
What you need to get started on the API
- A phone number that can receive an SMS or a call for verification. It can be a new number or one you move from the app.
- A Meta business portfolio (Business Manager), ideally verified.
- A WhatsApp Business account inside it, with your display name and profile.
- A payment method on file at Meta for message fees. Since October 2026, service messages beyond the monthly free allowance are charged. See our 2026 pricing guide.
- Software to manage conversations, because the API has no app of its own.
Moving your current number
A number already used in the WhatsApp Business App can be moved to the platform. Once it’s on the platform, conversations are managed from your software, so plan the move for a quiet time, tell your team in advance and export anything you want to keep from the app first. Our team walks Jwab customers through this step by step.
How Jwab helps
Jwab runs on the official WhatsApp Business Platform. It gives your team one shared inbox for WhatsApp, Instagram, Messenger and TikTok, AI agents you create yourself, departments and routing, and WhatsApp campaigns, from $49 a month, with no markup on Meta’s fees.
